How to Place a Proclamation on a City Council Agenda
A proclamation is a public notice or formal announcement usually made from the government to the people.
The Mayor and City Council are pleased to issue proclamations for many worthwhile community activities, events and causes. However, because of the number of requests the city has received, the following guidelines for placing a proclamation on the agenda for approval have been implemented.
· Prepare and submit the proclamation in the proper format, which is available on the city web page (www.mesquitenv.gov) or in the office of the City Clerk.
· Acquire sponsorship for placement on the City Council agenda either by the Mayor, a Councilmember or a City Department Head (one sponsor required).
· Determine the month the proclamation needs to be placed on the City Council Agenda.
· Submit the proclamation, with all backup documentation to the City Clerk 30 days prior to the 1st City Council meeting of the month (2nd Tuesday of each month).
· City Clerk will review the information and prepare a pre-agenda notice for final approval.
All proclamations will be placed near the front of the City Council agenda; read by title by the Mayor; and presented to the City Council for ratification by motion. Following the meeting, each proclamation will be executed by the Mayor, after which the petitioner will be notified that the document has been completed and available for picked up in the office of the City Clerk.
